VOLUNTEER OPORTUNITIES
Southborough Organization for Schools (SOS) is looking for volunteers for the 2024-25 school year. SOS is Southborough School District's parent teacher organization (PTO). SOS is a 501(c)3 non-profit organization that comprises parent volunteers committed to working with our school teachers and administrators to enhance the learning experience of our children.
Each school has its own SOS committee composed of co-chairs and a treasurer which plans school wide events and meets directly with the school principal to support the school. The General SOS has a committee consisting of a president, vice president, secretary and treasurer which maintains our non-profit status and provides consistency and support amongst the schools' SOS committees.
This is a great and fun opportunity to get involved by giving back to your schools while directly supporting your child(ren). All positions have been documented well allowing for easy transitions and all the committees work together to support each other.

COMMITTEE POSITIONS
General SOS
The General SOS Committee is composed of a president, vice president, treasurer, secretary, website admin, and committee members from each of the four Southborough School's SOS Committees. This committee meets four times each academic year to coordinate and communicate the needs of the SOS committees across the four schools.
President:
The responsibilities of the President include scheduling, planning and conducting General SOS meetings which take place four times during the school year. S/He will work with the secretary to create and circulate the agenda for each meeting. The President represents SOS General at the Superintendent's Advisory Committee Meetings which take place once a month. S/He may delegate this responsibility to another member of the committee. The President also helps recurit and support volunteers for the individual school SOS committees when necessary. S/he will be familiar with the SOS bylaws and ensure that they are being followed. Time requirement is on average 2-4 hours per month. The busiest times of the year will be October, January, March and May when the meetings are held.
- Schedule, plan and conduct General SOS meetings four times during the school year

- Represent SOS General (or delegate someone) at the monthly Superintendent's Advisory Committee Meetings
- Recruit and support volunteers for the individual school SOS committees when necessary
- Ensure the SOS bylaws are followed

Treasurer:
The responsibilities of the Treasurer includes working with all school treasurers to process all check requests and record all deposits as well as organizing all financial information for each school in QuickBooks software. (No prior knowledge of QuickBooks is required as training will be provided.) On a monthly basis, the treasurer will reconcile the bank account and report all financial information to the team. Work with accountants to provide financial information necessary for them to complete all tax documentation. Apply for and/or maintain all non-profit status annual reports, raffle permits and tax exemptions. Time requirement is on average 4-6 hours per month with busier months based on school events schedule and tax preparation in September . Attend General SOS meetings four times a year.

Secretary:
The responsibilities of the Secretary include taking minutes at the meetings which take place four times during the school year. S/he will work with the President to create and circulate the agenda for each meeting. S/He will maintain the mailing list and communications to Committee Members, as well as send information to the school-wide parent community through ParentSquare. The secretary will also forward information to the SOS General Website Manager. S/he will work with Google Docs, Google Groups, and will be trained to use ParentSquare. Time requirement is on average 2-4 hours per month.
Membership Toolkit Admin:
The Membership Toolkit Admin will need to be trained on how to use the Membership Toolkit program. S/he will use the Membership Toolkit program to forward emails from SOS Committee members of any school to the Southborough parent community. The Membership Toolkit Admin will also be responsible for coordinating the Membership Toolkit directory at the beginning of the school year. As a result, the busiest time for this position will be the month of September, requiring 10 hours of volunteer time. The remaining months will require approximately one hour per month responding to communication requests.
Web Admin:
The Website Admin will be responsible for updating the SOS Website with information received from the SOS Committee Chairs. This information will include upcoming events, volunteer needs, contact information etc. It will require 2-3 volunteer hours/month.
Web Admin in Training/Design Support
The web admin in training needs no prior experience with HTML or CSS, just a desire to learn. Creativity to come up with new layouts and design schemes are desired. You have the ideas, the web designer will show you how to bring it to life.

Finn
Chairs (2):
The Finn SOS Chairs are responsible for organizing and leading Finn SOS. This includes coordinating chairs for Finn SOS sponsored events and working with Mr. Ryan and Finn teachers to provide support for bringing enrichment events to our school. Time requirement is, on average 5 hours a month, with an expectation that this will increase during Finn SOS's busy months (October, February, March). Ideally, one parent from Grade 1 and one parent from Kindergarten will volunteer so they can also assist the following year to allow for a smooth transition.
Treasurer:
The Treasurer is responsible for working with the overall SOS Treasurer to make deposits at the bank and facilitate payments to various vendors. There should be a basic working knowledge of Excel. Time requirement is, on average, 2-4 hours per month, with an expectation that this will increase during Finn SOS's busy months (October, February, March).
Assistant Treasurer:
Assist Treasurer by making deposits at bank. There should be a basic working knowledge of Excel. Time requirement is, on average, 2-4 hours per month. Based on SOS events at Finn, October, February and March are the busiest months. The hope would be that the Asst. Treasurer, also learns about the budget and reconciling reports from overall SOS Treasurer so that they can assume the role of Treasurer the following year. This allows for a smooth transition
Pre-School Representative:
- Connection between grade school and pre-school
- Support pre-school room parents and teachers as needed
Communications Chair:
- Maintains transparency btw SOS and parents and school
- Takes/shares out SOS meeting notes with board
- Creates/delivers SOS newsletters/digital flyers
- Parent Square messages/blast volunteer requests (requests go to Mr. Ryan)
- Social media posts as needed for news/volunteer requests
- Provide SOS website updates
- Share monthly textile rebate info/promotes the donation box
- Parent/Teacher annual survey
Community Events/Fundraising Chair:
- Works with board to determine fundraising needed to support SOS goals and plans
- Recruits event and donation chairs to lead events and/or help plan the fundraisers/donations events (provides past details/vendor lists, etc)
- Events:
- Finn Fall Festival with Scholastic Book Fair
- Picture Day
- Special Person Dance
- Dance Fit
- Other fundraisers if needed: art fundraiser, parent night out, movie night, family pasta night, etc
- Initiatives:
- Textiles donations: contact Mrs. Jeannette Morgan
Finn Feelings Liaison:
- Primary contact with Feelings teacher at Finn
- Communicate through SOS newsletter initiatives, programs, events happening related to feelings teacher at Finn
- Food Pantry: monthly donation drop offs (check-in with office after Spirit days)
Woodward
Chairs (2):
The Woodward SOS Chairs are responsible for organizing and leading Woodward SOS. This includes coordinating chairs for Woodward SOS sponsored events and working with teachers to provide support for bringing enrichment events to our school. Time requirement is, on average 5 hours a month, with an expectation that this will increase during bigger events.
Treasurer:
The Treasurer is responsible for working with the overall SOS Treasurer to make deposits at the bank and facilitate payments to various vendors. There should be a basic working knowledge of Excel. Time requirement is, on average, 2-4 hours per month, with an expectation that this will increase during Finn SOS's busy months (October, February, March).

Neary
Chairs (2):
The Neary SOS Chairs are responsible for organizing and leading Neary SOS. This includes coordinating chairs for Neary SOS sponsored events and working with teachers to provide support for bringing enrichment events to our school. Time requirement is, on average 5 hours a month, with an expectation that this will increase during bigger events.

- Ensure/recruit for chairs for each committee
- Attend General SOS meetings (4x/year)
- Time requirement: 2-4 hours/month

Trottier
Chair:
The responsibilities of the Chair include planning and conducting the monthly meetings which are at 8:30 on the first Friday of each month during the school year. They work with the secretary to create and circulate the agenda for each meeting. It is the Chair's responsibility to ensure that all committees (Picture Day, Cultural Arts, Volleyball Marathon, 8th Grade Banquet, Teacher Appreciation) have a chair. The Chair represents Trottier at the SOS General Meetings which take place three times a year. They may delegate this responsibility to another member of the committee. Time requirement is on average 2-4 hours per month. Based on SOS events at Trottier, April, May, and June are the busiest months. If the position of secretary is not filled, the chair (or Co-Chair) would need to fill those responsibilities.
Co-Chair:
The responsibilities of the Co-Chair include supporting the Chair in planning the monthly meetings which are at 8:30 on the first Friday of each month during the school year, creating the agenda, and soliciting volunteers for each committee. Time requirement is on average 2-4 hours per month. Based on SOS events at Trottier, April, May, and June are the busiest months. If the position of secretary is not filled, the co-chair would need to fill those responsibilities.

Treasurer:
The responsibilities of the Treasurer include developing annual budget, reconciling monthly reports and providing a status to the team monthly. The Treasurer is also accountable for all deposits and check requests. Attend monthly meetings which are at 8:30 on the first Friday of each month during the school year. He/she will provide financial guidance as spending decisions arise throughout the year. There should be a basic working knowledge of Excel. Time requirement is on average 2-4 hours per month. Based on SOS events at Trottier, April, May, and June are the busiest months.
Assistant Treasurer:
Assist Treasurer by making deposits at bank and attending monthly meetings which are at 8:30 on the first Friday of each month during the school year (attendance optional). There should be a basic working knowledge of Excel. Time requirement is on average 2-4 hours per month. Based on SOS events at Trottier, April, May, and June are the busiest months. The hope would be that the Asst. Treasurer, also learns about the budget and reconciling reports from overall SOS Treasurer so that they can assume the role of Treasurer the following year.
